Booking & Cancellation Policy

To confirm any tour with Foot On Kilimanjaro Adventures, a non-refundable deposit of 20% of the total tour cost is required at the time of booking. The remaining 80% balance is payable upon your arrival in Tanzania, before the tour begins, in cash (USD, EUR or GBP) or by additional money transfer.

Accepted deposit methods: Western Union, Bank Wire Transfer, Xoom (PayPal), WorldRemit, or NALA. Receipts must be sent to us via email or WhatsApp to confirm your booking.

Bookings are only confirmed once the deposit is received and we issue a written confirmation by email.

All bank charges, transfer fees and currency conversion costs are the responsibility of the client. Please ensure that the full deposit amount is received in our account.

If you need to cancel your booking, written notice (email or WhatsApp) must be received by our office. The following cancellation charges apply, calculated as a percentage of the total tour cost:

• More than 60 days before tour start: deposit (20%) only is forfeited
• 60 – 31 days before tour start: 30% of total tour cost
• 30 – 15 days before tour start: 50% of total tour cost
• 14 – 7 days before tour start: 75% of total tour cost
• Less than 7 days before tour start or no-show: 100% of total tour cost

Refunds, where applicable, are processed within 14 working days of receipt of your written cancellation. Bank and money-transfer fees are deducted from the refund amount.

We understand that travel plans can change. You may reschedule your tour to a new date free of charge if written notice is received at least 45 days before the original start date, subject to availability.

Rescheduling between 45 and 15 days before departure incurs an administration fee of US$100 per person. Within 14 days of departure rescheduling is treated as a cancellation.

Deposits are valid for 12 months from the original booking date and may be applied to any future trip with us during that period.

Foot On Kilimanjaro Adventures reserves the right to cancel any tour due to circumstances beyond our control, including but not limited to extreme weather, natural disasters, pandemics, civil unrest, government travel restrictions, or insufficient minimum group numbers.

In the unlikely event of a tour being cancelled by us, you will receive a full refund of all monies paid to us, or the option to transfer your booking to an alternative date or tour at no extra cost. We are not liable for any additional expenses incurred by you (flights, visas, insurance, hotels outside the tour).

Comprehensive travel insurance is mandatory for all clients climbing Mount Kilimanjaro, Mount Meru, Ol Doinyo Lengai or undertaking any multi-day safari with us.

Your policy must cover: medical treatment and emergency evacuation up to at least 6,000 metres for trekkers, repatriation, trip cancellation and curtailment, and loss or damage to personal belongings.

We recommend providers such as World Nomads, Global Rescue, IMG Patriot and SafetyWing for high-altitude trekking cover. Proof of insurance must be presented on arrival.

Your passport must be valid for at least 6 months beyond your date of entry and have at least two blank pages. Most nationalities require a Tanzania visa, available on arrival or online via the e-visa portal (https://eservices.immigration.go.tz).

A valid Yellow Fever vaccination certificate is required if you are arriving from or transiting through a Yellow Fever endemic country. Malaria prophylaxis is recommended — consult your doctor before travel.

Detailed inclusions and exclusions are listed on each tour page and in your booking confirmation. Tipping for guides, porters, cooks and safari driver-guides is not included and is at your discretion. Recommended tipping guidelines are provided in your pre-departure documents.

International flights, Tanzania entry visa, personal trekking gear, alcoholic drinks, laundry, optional excursions and items of a personal nature are not included unless specifically stated.

Clients are responsible for ensuring they are medically fit to undertake their chosen tour. You must declare any pre-existing medical conditions at the time of booking. Our guides carry first-aid kits, pulse oximeters and emergency oxygen on all Kilimanjaro and Meru climbs.

If for medical reasons our guides determine that continuing the trek or safari would put your safety at risk, we reserve the right to descend you from the mountain or evacuate you from the park. No refund is given for unused services in such cases — your travel insurance should cover this.

Should you have any complaint during your tour, please raise it immediately with your lead guide or our office in Moshi so we can address it at once. Any complaint not resolved on the ground must be submitted in writing to info@footonkilitanzaniaadventure.com within 28 days of the tour end date.

These booking conditions are governed by the laws of the United Republic of Tanzania.

Personal information you provide is used solely to administer your booking, arrange park permits, accommodation and travel insurance verification. We do not share your data with third parties for marketing purposes.
